    Graduate Recruiting (30%): 
    Development, production, and distribution of all graduate recruiting and curriculum materials.Point person for all prospective student inquiries. Maintenance of domestic and international online (Slate) application process. Coordination of admission decisions and fellowship awards. Organization of one graduate recruitment visitation weekend annually.

    Graduate Studies (40%): Departmental contact for all inquires regarding the graduate program. Monitoring of graduate student progress toward completion of degree requirements. Assistance with graduate student awards and fellowships. Administer monthly cumulative exams. Organization of week-long orientation program for incoming graduate students. Maintain several databases for tracking activities.

    Graduate Student Payroll (30%): Process forms as needed. Calculate and monitor stipends, awards, health fees and other applicant fees.

    Qualifications: Able to work independently with minimum direction. Strong computer skills preferrred.    Bachelor’s degree and 1 year of administrative experience: or an equivalent combination of education and experience required.

    Under minimal direction and latitude for independent judgment, perform accounting work requiring knowledge and application of general account theory, techniques, and practices. Requires one with high level of self-motivation and organization skills, and ability to work closely with the various levels of the University community.  Ensures high levels of customer’s satisfaction through excellent service. Position reports to the Chemistry Business Office Manager (Sr. Accountant). 

    Responsible for daily operations of the Chemistry Stockroom: 25%

     - Reconcile stockroom inventory.
     - Orders stockroom inventory.
    - Negotiates pricing on all stock items.
     - Receives orders, reviews packing slips, enters PIN number on all items and stocks supplies received.

     Ordering: 20%
    - Assist faculty and researchers with their purchases. Advise on best sources.
    - Contact requestor on availability, shipping costs and alternative options as needed.
    - Places all department orders including Sigma-Aldrich, Airgas, Cambridge Isotope, Praxir orders, Fisher, VWR and other vendors.
    - Bills orders to end users when required.

    Process all research and department orders using FileMaker, P2P and Workday. 25%
    - Manage billing for specialized vendors.
    - Keep current on all government and University rules and regulations, to ensure that they are followed.  Confirm appropriateness of account numbers and spend categories are used.

    Ledgers: 20%
    - Monitor ledgers. Check for appropriateness and financial liability.
    - Compare expenses to budgets.
    - Processes monthly AJE’s to ensure payments are received.
    - Reconciles and analyze stockroom accounts monthly.

    Assists in hiring and supervising student help. 5%

    Additional related duties as required. 5%

    Qualifications: Bachelor’s degree in Accounting and 1 year of professional accounting experience; or an equivalent combination of education and experience.

    We are seeking a dedicated student with enough time and energy to take on a challenging student assistant position for 5-15 hours per week. The position entails assisting with website maintenance; creating departmental publications (newsletter, flyers, posters); and general office assistance including, but not limited to, filing, copying, updating databases, running errands, and assisting with preparation for meetings and events.

    Student should be computer savvy, comfortable with a PC, have an eye for design, and a strong willingness to learn and innovate. The applicant should be willing to receive on-the-job training as necessary, and should enjoy mastering new technologies and computer programs. This position is for those who desire an opportunity to grow and assist in the Advancement activities of a collegiate department.
